QR room service for hotels in Nepal: a practical setup guide

Plan a hotel QR room-service menu in Nepal with NPR prices, room PINs, kitchen handoffs and a checkout process staff can follow.

A QR room-service menu can help a hotel in Nepal take breakfast and evening orders without asking every guest to call reception. The useful change is a clear written order with a room reference. Reception, kitchen and delivery staff still need an agreed process for opening a room session, checking requests and settling the bill.

Start with one room and a short menu

Choose a room for an internal test and add a small breakfast or evening menu. Set the service location to NPR if those are the prices you charge guests. Check item descriptions and portions on a phone, including what is available during the hours you intend to offer room service. Do not imply that an unavailable late-night item can be prepared just because it remains on an old printed card.

Hand over a room PIN as a service task

A room QR sticker can remain in place across many stays. With PIN protection enabled on an eligible plan, staff open the room’s service session and give the current guest its PIN. Keep that separate from door access and booking details. The food-ordering session is time-limited; a booking that lasts several nights does not automatically keep the same ordering session valid. Include expired sessions and outstanding bills in the reception handover.

Keep the kitchen reference clear

A practice order from Room 214 should be recognizable as a room order, not confused with a similarly numbered restaurant table. Test food and drinks assigned to separate preparation stations. The kitchen display can handle room orders alongside restaurant orders, while the floor or room-service team agrees who will deliver them. An order marked ready is not the same thing as food delivered to the room.

Check what happens at checkout

  1. Find the room’s service bill and verify all orders and configured charges.
  2. Confirm who receives or verifies payment before marking it recorded.
  3. Close the settled service session.
  4. Check that the previous guest’s phone cannot order into a new session.
  5. Open a fresh session for the next guest and share only that session’s PIN.

GiveMyMenu does not automatically synchronize hotel occupancy or post restaurant charges to a PMS guest folio. If reception needs those features, assess that requirement separately. A room-service tool can replace a food-order phone call without replacing a booking, accounting or property-management system.

Plan for different guest preferences

Keep a reception phone or staff-assisted option for someone without a suitable phone or connection. Test the guest Wi-Fi where the QR stand will be used. The current ordering workflow needs a working connection and does not promise offline synchronization. If you print kitchen tickets, test the actual printer and browser workflow before expanding to more rooms.

Use the Nepal plan catalog to check room PINs, printing and other required features. The software subscription is separate from guest food charges, and changing the public site’s pricing region does not convert the hotel’s operating revenue.

Try it with your restaurant menu

Set up a few dishes and follow an order through to the kitchen and bill.
